How to create a Shipment

Creating a shipment in Open360 is a quick and streamlined process. Follow the steps below to ensure all necessary details are entered correctly.


Step 1: Start a New Shipment

  • Click on the Create Shipment button.

  • You’ll be taken to the shipment creation page.

Step 2: Enter Sender & Receiver Details

  • Your default sender address is pre-selected. If needed, expand the Sender’s Details section to confirm or update the address.

  • In the Receiver’s Details section, begin typing the receiver’s name.

  • A drop-down list of suggested receivers will appear-select the correct one.

  • The system will auto-populate the location and contact fields for the selected receiver.

Step 3: Enter Package Details

  • Enter a package name (optional).

  • Select a package type from the drop-down list.

  • Enter the Quantity, Weight, Length, and Height of the package.

  • The system will automatically calculate and display the volume based on the values entered.

Step 4: Set Dispatch Date & Delivery Preferences

  • The Dispatch Date is set to the current date by default.

  • To change the dispatch date, click on the calendar icon and select a new date.

  • Select a Delivery Signature Preference:

    • Authority to Leave – Allows delivery without requiring a signature.

    • Signature on Delivery – Ensures the package cannot be delivered without a signature.

Step 5: Select Supplier & Add Instructions

  • Select a supplier & service from the list of suppliers available for you if you would like to select a particular supplier and service

    • Lowest Cost - Lowest cost is selected by default

    • Quote All Available - Displays a quote for all your available supplier and service options

  • To add pickup and delivery special instructions, click the "Add" button in the respective sections.

Step 6: Billing & Custom References

  • The Bill to option has been selected for you by default, you have the ability to select from the following options

    • Select a group from the list of groups configured on your account

    • Third Party

    • Receiver

  • If you need to add a Custom Reference, click "Add" under the Custom Reference heading.

Step 7: Create the Shipment

After entering all the details, you have four options to proceed:

  • Create Shipment – Finalises the shipment and sets its status to Ready to Ship.

  • Save as Draft – Saves the shipment as a Draft, allowing you to edit it later.

  • Create Shipment & Print Label – Creates the shipment, prints the label, and sets the status to Ready to Ship.

  • Create Shipment & Book Pickup – Creates the shipment, books a pickup, and sets the status to Ready to Ship.

Step 8: Confirmation

Once your shipment is created, a confirmation message will be displayed, showing:
✅ Shipment successfully created
✅ Shipment reference number


Tip 📝

After Shipment creation, you will need to Manifest your shipment before it can be confirmed for pickup.
